Build a business case for document workflows

A checklist for evaluating invoice organization and contract renewal review with clear inputs, approvals, and a baseline you own.

Document automation is easier to evaluate when the business case starts with a real queue of work. Two marketplace agents make useful comparison points: Invoice Organizer for receipts and invoices, and Contract Radar for agreements and renewal-related documents. The goal of a pilot is to learn where each agent helps and where a person must still decide. Do not begin with an invented return, accuracy rate, or time saving.

Define the inputs

For an invoice review, choose a folder and describe the material you expect to find: invoices or receipts, including photos and scans. The listing says the agent can pull out vendor, date, amount, and tax information. Decide which fields your finance process actually needs and how a reviewer will check them against the source image or document.

For a contract review, define the legal or procurement folder and the vocabulary that matters to your team: contracts, agreements, and renewal-related documents. A date found in a document is a useful lead for review; it is not permission to renew, terminate, or interpret a clause automatically.

Mark the approval points

Write down what the agent may suggest and what requires approval. Invoice Organizer can rename files consistently and produce a categorised spreadsheet once you approve. Decide who approves the proposed names, which destination is allowed, and how corrections are recorded. Keep the scope bounded. Record the folder, the review date, the kinds of documents included, the files the agent could not interpret, and the checks performed by a person. A pilot should make uncertainty visible rather than turning an incomplete result into a business metric.

Build your own baseline

Before running an agent, ask the team to describe its current process. How are files found? Which fields are copied? How are duplicates, scans, missing dates, or unusual names handled? For renewals, how are owners and deadlines tracked? Use the same sample and definitions when comparing an assisted run with the current process. Measure only what you can reproduce, such as elapsed review time or number of items requiring correction, and state the sample and method. A small result is still useful if its limits are clear.

  • Which extracted fields or dates require a second-person check?
  • What happens when a document is missing, ambiguous, or outside the intended type?
